How to Create Automation Rules

Are you manually sending renewal reminders or updating a user's status? Automation rules remove the need to perform manual, repetitive tasks by allowing you to automate your processes and workflows.

To create a new automation rule, navigate to Settings > Certification > View Certification > Automation Rules > +Add New and complete the required fields.

  1. Every rule starts with the Trigger Criteria. This is the event that triggers the rule to execute. This can be the user's certification status or when a requirement has been met.
  2. The User Status determines which individuals the rule will be applied to based on their current certification status.
  3. Actions are the doers of your rule. Are you sending an email communication, updating a certification status, or removing an attribute? Several actions here can be automated.
  4. A Scheduled Rule will run within the number of dates from the specified Date Event.

TIP: Tasks that can be automated:

  • Send Targeted Emails to Your Users
  • Update a User's Certification Status and/or Certification Category
  • Change User Profile Category
  • Assign or Remove Attributes
  • And more!

EXAMPLE: You can create email Automation Rules to send communication to your users for a great number of reasons. Below we have outlined how to create a rule that will automatically send an email to reach your users as efficiently as possible.

SCENARIO: Users must recertify every three years from their original certification date and you would like to send an email message to prompt them to complete their requirements.

ACTION: Create an automation rule as shown below. 

  1. Complete the required fields on the automation rules page. In this example, an email will be sent to users 60 days prior to their recertification date.
  2. Configure your email template to be sent to your users.
    1. Write a concise and compelling email subject to grab the recipient's attention and create the body of the email that will be sent.
